Compensation Overview The annual base salary range provided for this position is a nationwide market range and represents a broad range of salaries for this role across the country.
The actual salary for this position will be determined by a number of factors, including the scope, complexity and location of the role; the skills, education, training, credentials and experience of the candidate; and other conditions of employment.
As part of our comprehensive compensation and benefits program, employees are also eligible for performance-based cash incentive awards.
Salary Range $40,100.00 - $66,100.00 Target Openings 1 What Is the Opportunity? As a Mail Operations Specialist, you will be responsible for: *Full observable working knowledge of all mail and shipping activities and how they interact for successfully meeting of departmental objectives. *Providing customer support on best practices related to mail and shipping. *Ensuring that established processes and procedures are followed. *Maintaining daily records of volumes and activity. *Compiling records of daily activities for submission to management. *Suggesting and implementing process improvement ideas. *Ensuring the accuracy and condition of inbound mail and shipments. *May provide mentorship and guidance to fellow staff.
This position is based full time in our St Paul office.
What Will You Do? Leads and participates in the administrative and physical tasks for outbound and inbound items.
Ensures proper documentation for all shipments and verifies the accuracy and condition of all incoming items.
Serves as a main point of contact for customer inquiries about internal mailing processes and procedures, package tracking, and mail and shipping services.
Documents volumes and activity and completes management reports.
Assists with operations related invoicing verification and prep for remittance.
Answers telephone and in person routine inquiries professionally and escalates accordingly if unable to achieve resolution.
Full working understanding of all delivery stations with ability to sort and deliver mail.
Ensures that all incoming and outgoing items are appropriately secured.
Organizes work and work area in an efficient and orderly manner.
Studies processes for effectiveness.
Assists with the operations related invoice verification prep and submission for remittance.
Effectively uses technology to navigate numerous systems and platforms simultaneously to accurately access and input information.
Suggests improvements and acts to make process improvements.
Operates personal computer and tracking and routing system to log in and record incoming items.
Builds and maintains customer satisfaction and trust when effectively applying learned product and systems knowledge.
Effectively interacts with multiple levels of the organization; summarizing situations and articulating possible solutions, when assigned.
May operate electric hand trucks, electronic scales and personal computers on a regular basis.
Full working knowledge of Federal Express shipping products.
May have Driver responsibilities which include driving a truck within a City or industrial area to transport and deliver goods to and from designated locations.
Schedule, pick-up, and delivery for all mail, packages, and materials for all Company owned, rented, and occupied buildings.
Coordinate the loading and unloading of trucks.
Responsible for the cleaning and servicing of vehicles and performing minor preventative maintenance.
Perform other duties as assigned.
What Will Our Ideal Candidate Have? 2+ years' experience in a mail shipping or mail operations environment and/or experience driving small box trucks and larger trucks.
Ability to operate forklift, electric hand trucks, electronic scales and personal computer.
Valid Driver's License and ability to obtain Medical Card to be able to drive small box truck and larger trucks.
General knowledge of personal computer and all dock and mailroom systems and processes.
Strong leadership and organization skills.
Resourceful, self-motivated, and able to work effectively with little supervision.
Ability to organize work tasks and establish priorities for completion of multiple tasks.
Strong oral and written communication skills and customer relation skills.
Intermediate knowledge of desktop software (Excel, Word) with easy adaptability to PC-based tracking and email programs.
Flexibility to cover different shifts with little notice.
What is a Must Have? High school diploma or equivalent.
Minimum of one year in a mail shipping or mail operations environment or customer service environment.
